Clockwork AI Candidate Screening for Retained Search Teams

Screened scores every candidate sourced into a Clockwork Project against that search's Position-tab criteria, and produces a ranked list instead of rating every name in Grid View by hand. The Clockwork integration is available on request.

Where Screened fits in Clockwork

Clockwork Recruiting is project-management and CRM software built specifically for retained executive search, not a high-volume applicant tracking system.

Boutique search firms, in-house executive talent acquisition teams, and institutional investors use it to run individual search Projects through Clockwork's own "Eight Stages of Successful Retained Search" methodology, including Strategy, Research, Outreach, Assessment, Decision, and Close & Grow.

Every Project draws candidates from a firm-wide People database and can expose progress to the client through a Client Portal where longlists, scorecards, and Candidate Assessment Reports live.

What Screened takes off your plate in Clockwork

Scoring a Research-stage longlist before it hits Grid View

After a researcher adds the people identified during the Research stage to a Project, Screened scores each Person against that search's Position-tab criteria, so the team comes to Grid View with a ranked read on the longlist instead of rating every row from a blank slate.

Pre-screening candidates ahead of Outreach QIA calls

Instead of a researcher placing the first Qualified/Interested/Available call to every sourced candidate, Screened's AI voice screening runs that initial QIA-style conversation by phone or text, so recruiters spend Outreach-stage time on people already confirmed qualified, interested, and available.

Triaging Job Posts applicants when they land in People

When a candidate applies through a Clockwork Job Post and is auto-added to the People database and the search Project, Screened scores their resume immediately so researchers can weigh inbound applicants against sourced candidates on the same criteria, rather than letting applications sit unscreened.

Keeping Person records audit-ready for the Client Portal

Screened has the score, flagged red flags, and results link ready for whoever updates the Person record and Project notes, so whatever a firm chooses to expose through Clockwork's per-field client visibility settings — on the Long List or a Candidate Assessment Report — is backed by the same data the research team used internally.

How Screened works with Clockwork

1

A candidate reaches Clockwork either because a researcher adds them to a Project's Candidates list during the Research stage, or because they apply through a Clockwork Job Post and are auto-added to the People database and attached to the search Project.

2

Screened scores the candidate's resume 0-100 against that Project's Position-tab research criteria, extracting years of experience and flagging gaps, so the team has a ranked baseline before anyone starts rating rows in Grid View.

3

For candidates worth an initial conversation, Screened runs an AI voice or text screen structured around the same qualified/interested/available questions a researcher would normally ask during Outreach, producing a transcript, per-question scores, and a recommendation.

4

Screened has the score, results link, and recommendation ready before anyone updates the Person record, Project notes, or Status. Recording them on the Person record automatically is available on request.

Built around how Clockwork works

Screened fits the objects and stages your team already uses in Clockwork.

Project

A single retained search engagement in Clockwork, built around its own Strategy, Position, and Candidates tabs and tracked through the firm's Eight Stages of Successful Retained Search methodology.

People database / Person record

Clockwork's firm-wide repository of candidates and contacts; a single Person can be attached to multiple search Projects over time and carries resume, relationship, and activity history.

Position tab / Research Criteria

Where a firm defines the specific qualifications a candidate must meet for a given search, used to rate and rank candidates in the Candidates tab's Grid View.

Long List

The pared-down, client-facing view of sourced candidates (name, company, title, rating) shared through the Client Portal for quick thumbs-up/down feedback before the team moves into Outreach.

QIA (Qualified, Interested, Available)

The assessment recruiters make during Clockwork's Outreach stage to decide whether a sourced person is worth continuing to pursue.

Candidate Assessment Report (CAR)

The cumulative write-up — resume, criteria scorecards, notes, and recommendation — built for a candidate as a search moves toward the Assessment and Decision stages, and shared with the client.

Review candidate fit and authenticity

Bring screening assessments and potential authenticity concerns into your team’s review. Use the written findings to decide where a closer look is needed.

Common questions

Yes. Screened scores each candidate's resume against the research criteria set in a Project's Position tab once they're added to the Project, so the researcher opening Grid View starts from an AI-generated score instead of rating every person cold.

Both. Clockwork already auto-adds Job Post applicants to the People database and the relevant search Project; Screened scores those resumes the same way it scores researcher-sourced candidates, so inbound applicants and sourced names get triaged on the same criteria.

It replaces the first call, not the relationship. Screened can run the initial qualified/interested/available conversation by phone or text across a long candidate list and produces transcripts and recommendations, so your researchers spend their own Outreach-stage time building rapport with people already confirmed qualified, interested, and available — which still matters most at the executive level.

Screened doesn't post into the Client Portal — its scores, transcripts, and recommendations live in Screened, and reach the Portal only once someone records them on the internal Person and Project records. Because the Client Portal is driven by whichever fields and notes your firm has marked client-visible on those same records, a Screened note or score can surface there once you choose to expose it, the same way any other scorecard update would.

Clockwork is available on request. Just ask us about it when you talk to sales. Screening itself needs no developer work, no custom API project, and nothing to install on your side.

Screened highlights potential concerns in resumes and checks interview answers against the job requirements. Your team can review the written reasons and interview transcript, then ask follow-up questions about experience that needs clarification.

Screened keeps assessments and written reasons for candidates screened through Clockwork. Open the Screened candidate profile to review activity, or export a CSV of the latest decisions. For hiring decisions made in Clockwork, use its own records. See the screening records guide.
