SmartRecruiters AI Screening: From In Review to Interview

Screened scores every application in your SmartRecruiters pipeline and can run an outbound AI voice or text screen before a live interview, then writes the score, results link, and recommendation back onto the Candidate profile.

Where Screened fits in SmartRecruiters

SmartRecruiters is an AI-native talent acquisition suite - an ATS, CRM, and job distribution platform built around its own AI layer, Winston - used by more than 4,000 organizations in 120+ countries, with concentrated adoption in healthcare, manufacturing, retail, hospitality, and transportation.

It's built for mid-market and enterprise organizations with dedicated recruiting teams and high requisition volume, not solo hiring managers filling one role at a time.

SAP completed its acquisition of SmartRecruiters in September 2025; the product still operates as a standalone business while SAP rolls it out as SuccessFactors' recruiting engine over the next several years.

What Screened takes off your plate in SmartRecruiters

Clearing the In Review queue before the phone-screen decision

In Review is the SmartRecruiters stage where a recruiter is actively reading an application and deciding whether to move someone toward a phone screen. Screened can score every resume that lands in that queue - 0 to 100 against the job's requirements, with red flags and years of experience called out - and post the result to the Candidate profile, so recruiters work the queue in ranked order instead of opening applications one at a time.

Reaching high-volume applicants across a Multi-Location Job Ad

A single Job posted through Multi-Location Posting can produce Job Ads across a dozen cities at once - common for retail, hospitality, and healthcare reqs on SmartRecruiters. Screened can call or text every applicant directly instead of waiting for them to come back to an application portal, then writes the results link and recommendation back to their profile under the shared Job, regardless of which city's ad they applied through.

Giving Hiring Managers a documented first read before the interview

SmartRecruiters' Hiring Manager role exists to interview candidates and make the call to hire, usually against a job-specific Interview Scorecard. Screened's per-question scores, results link, and hire/no-hire recommendation attach to the Candidate profile ahead of that interview, so the Hiring Manager and any Interviewer on the Hiring Team start from a documented first pass instead of a blank scorecard.

Re-screening candidates pulled from a SmartCRM Talent Pool

SmartCRM lets recruiters keep Talent Pools of engaged candidates warm ahead of open roles. When someone gets pulled from a pool into a newly opened Job, Screened screens them against that job's actual requirements instead of relying on notes from whenever they first entered the pool - useful when pools sit for months between reqs.

How Screened works with SmartRecruiters

1

A candidate hits a trigger point in your SmartRecruiters pipeline - commonly Candidate Status moving to In Review on a Job, or a recruiter starting a screen manually - which calls Screened through the SmartRecruiters API.

2

Screened scores the resume or application against that Job's requirements (0-100, with red flags and years of experience pulled out) and, where configured, places an outbound AI voice or text screen with the candidate, producing a transcript and per-question scoring.

3

The score, results link, red flags, and hire/no-hire recommendation get written back to that candidate's SmartRecruiters profile under the original Job, and Candidate Status can move forward - or to Rejected - based on the result.

4

Recruiters, Hiring Managers, Coordinators, and Interviewers all see the same write-back inside SmartRecruiters, using whatever Hiring Team permissions they already have - no separate login or dashboard required.

Built around how SmartRecruiters works

Screened fits the objects and stages your team already uses in SmartRecruiters.

Candidate Status

SmartRecruiters' pipeline label for where an applicant sits on a Job: New, In Review, Interview, Offered, Hired, Rejected, Withdrawn, Transferred, or Lead.

Hiring Team

The people assigned to a specific Job, drawn from five default roles - Recruiter, Hiring Manager, Coordinator, Interviewer, and Executive - each with different visibility into candidate data.

Job vs. Job Ad

A Job is the internal requisition; a Job Ad is a specific external posting of it. Multi-Location Posting lets one Job generate several Job Ads across different cities without creating duplicate requisitions.

Winston

SmartRecruiters' own AI layer, delivered through named functions - Winston Match, Winston Screen, Winston Chat, Winston Companion - built into the platform rather than sold as a separate product.

SmartCRM / Talent Pools

SmartRecruiters' built-in CRM for grouping and nurturing candidates, by location, skill, or function, ahead of an open requisition, so recruiters aren't sourcing from zero every time a Job opens.

Interview Scorecard

A job-specific set of up to 20 core competencies interviewers score against after each interview, used to keep hiring decisions structured and comparable across a Hiring Team.

Review candidate fit and authenticity

Bring screening assessments and potential authenticity concerns into your team’s review. Use the written findings to decide where a closer look is needed.

Common questions

Alongside it. Screened doesn't touch your Winston configuration - it adds an outbound AI phone or text screen as an extra step, most often for requisitions where Winston Screen isn't set up yet or where a recruiter wants an actual conversation and recommendation before scheduling a human interview. Either way, results are written back to the same Candidate profile your Hiring Team already watches.

Yes. Multi-Location Posting keeps one Job tied to several Job Ads across different cities, so Screened screens against that Job's requirements no matter which city's ad the candidate applied through, then posts the result back to their profile under the shared Job.

Both are possible. Screened can post the score, results link, and recommendation as a compact result report on the Candidate profile for a recruiter to act on, or, if you configure it that way, advance or reject the Candidate Status directly - for example, from In Review to Interview - based on the outcome.

You link your SmartRecruiters account to Screened directly — authorize it once and jobs, candidates, and screening results sync between the two. No developer work, no custom API project, and nothing to install. Screening scores and result reports post back onto the candidate in SmartRecruiters automatically, and status updates can too when you configure them.

Yes. When a recruiter moves someone from a Talent Pool into an active Job, Screened treats them like any new applicant to that Job, scoring or screening them against the current requirements instead of reusing whatever evaluation exists from when they first joined the pool.

Screened highlights potential concerns in resumes and checks interview answers against the job requirements. Your team can review the written reasons and interview transcript, then ask follow-up questions about experience that needs clarification.

Screened keeps assessments and written reasons for candidates screened through SmartRecruiters. Open the Screened candidate profile to review activity, or export a CSV of the latest decisions. For hiring decisions made in SmartRecruiters, use its own records. See the screening records guide.
